 Our Terms and Conditions



Your contract is with Beat Route Tours Ltd. A contract exists between us when we have confirmed you on our tour and we have received your booking request and deposits. All correspondence/s in respect of tour bookings should be addressed to Beat Route Tours Ltd.


Once your tour has been finalised and you are happy with your itinerary, 40% advance payment should be made to hold the booking on a confirmed basis and the balance amount should be paid six weeks before your tour commences. During high season some hotels will request full payment is required on reservation and we have the right to add this to any advance payment that we request from you. Included in your advance payment may also be the ticket/entry fees for exclusive events e.g. Kandy Perahera . This is only to avoid the unfortunate situation where tickets may become unavailable.

How to pay:

Payment can be made by Debit/ Credit Card through our secured online payment gateway system, by Bank Transfer or Cheque . Bank charges, if any, for remittance would be strictly the responsibility of payer.

Amendments to your itinerary:

There will be no alterations to your tour once it has begun unless events or circumstances beyond our control occur. In case of events and circumstances beyond our control, we reserve the right to change all or parts of the contents of the itinerary for safety and well being of our highly valued customers.

Policy Regarding Cancellation / No Show / Early Departure:

In case of cancellation of tour due to any avoidable/unavoidable reason/s we must be informed in writing or via email. Cancellation charges would be effective from the date we receive letter in writing and cancellation charges would be as follows:

60 days & prior to arrival - 10% of the tour/service cost.

59 days to 30 days prior to arrival - 20% of the tour/service cost.

29 days to 15 days prior to arrival - 25% of the tour/service cost.

14 days to 08 days prior to arrival - 50% of the tour/service cost.

07 days & less, prior to arrival or no show - NO REFUND.

In case you cancel the trip after commencement due to circumstances beyond your control, we would only be able to refund a limited amount. This would be dependant on the amount that we would be able to recover from the hotels we use as we are required to pay deposits during the booking process. For unused hotel accommodation, chartered transportation and missed meals etc. we are unable to refund.


In regard to refund of cancelled tours (which are paid for and cancelled in advance according to our refund policy) the refund amount would be worked out on the basis of cancellation policy as described above. Any monies owing will be  refunded to the person who has made the payment to us. Please note that the refund process can take up to  4 weeks due to banking procedures. Any bank charges or credit card charges will be deducted from the refunded amount and be the responsibility of the person who has made the payment to us.

Our Liabilities & Limitations:

Please note that after the finalisation of the tour itinerary, if there are any Increases in entrance fees of monuments,government taxes, or fuel cost, this will be added to your final fee and charged as extra.

Beat Route Tours Ltd act only in the capacity of agent for our customers. The airlines and other means of transport used outside of your tour are subject to their own terms and conditions and we are not responsible for the way in which their services operate. We shall not be responsible for any delays & alterations in the programme or expenses incurred - directly or indirectly - due to natural hazards, flight cancellations, accident, breakdown of machinery or equipment, breakdown of transport, weather, sickness, landslides, political closures or any untoward incidents. We shall not be responsible for any loss, injury or damage to person, property, or otherwise in connection with any accommodation, transportation or other services, resulting - directly or indirectly - from any act of GOD, dangers, fire, accident, breakdown in machinery or equipment, breakdown of transport, wars, civil disturbances, strikes, riots, thefts, pilferages, epidemics, medical or custom department regulations, defaults, or any other causes beyond our control.

We do not have any insurance policy covering the expenses for accident, sickness, loss due to theft, or any other reasons. Customers are strongly advised to ensure they have appropriate insurance arrangements in their home country and that any specialist activities they are taking part in are covered by this.  All baggage& personal property/s at all times are at the client's risk.

Passports & Visas

To travel to Sri Lanka as a British citizen you are required to have a valid passport with remaining six months from date of return and a valid tourist Visa. You can obtain information about how to apply for an online visa through our website(In the Know). If you are a non British citizen or traveling from outside the UK please check with your home county for Visa regulations. We are not responsible for the clients failure to obtain the correct visa or their failure to travel with a valid passport and any associated fees are not included in our tour prices.


Please be honest about your health when booking your tour as it may dictate which activities we suggest to you. If you have chosen the more adventurous and physical activities we would strongly advise that you have a good level of fitness before your tour commences. It is at our discretion to cancel any part of the itinerary that we feel may compromise your health or deem unsuitable on commencement of your tour. Please ensure that you have comprehensive travel insurance to cover your health and medical expenses should you require any treatment.

Arrival and Departure Policy:

Check in, check out and mealtimes will be advised on arrival at each hotel. We are not responsible for charges incurred for late check out and this will be paid by the guest directly to the hotel. We are not responsible for missed meals and no refund will be given for accommodation that is not used. We can make requests for late check out should you wish but this Is entirely dependant on the policy of the hotel, time of year and availability.
